Scheduling and Publishing Station Staff

Setting up station staff shift types and people, building their schedule by hand, and how they're published together with the driver schedule.

Station staff shifts are the non-driving shifts at your station: openers, closers, ops, and dispatchers. They sit on the same weekly schedule as your routes, but you build them by hand, and VoiceERP never fills them in automatically.

Setting up shift types and people

Everything starts in Scheduling → Configuration, on the Station staff tab.

Under Shift types, press New shift type and fill in:

  • Name and an optional Description

  • Default start, Hours, and a Color

  • Demand per day: how many of this shift you want scheduled on each day of the week

Under Non-driver users, press Add user to add someone from your company's manager users. Then tick the Eligible shift types they can work. If they also have a driver record, you can connect it with Linked driver (optional).

A driver can work station shifts too. On the Driver configuration tab, open the driver and turn on Schedulable as station staff ("Also assign this driver non-driver station shifts"). Then choose their eligible shift types.

Building the station staff schedule

On Scheduling → Schedule, the Station staff block sits below the driver grid, marked Scheduled manually. Click a cell to give a person a shift, or use Copy from last week to start from the previous week.

  • Cells reading On route or PTO can't take a station shift. A person with a route that day can't also work a station shift, because everyone gets one shift per day.

  • A locked shift type means the person isn't eligible for it. Add it to their eligible shift types on the Configuration tab.

The block has its own save button, Save N change(s), separate from the driver grid's. Press it before you move on. You'll see "Saved N station staff change(s)" when it works.

Publishing: station staff go out with the driver schedule

There's no separate publish for station staff. When you publish the week from the schedule builder, with Publish & notify, Publish, or Publish N shifts, every saved draft shift in that week is published at once. That includes your station staff shifts.

You can't publish station staff on a different day from drivers. To publish a station shift change, save it in the Station staff block, then publish the week.

Who gets notified

When you publish, VoiceERP texts drivers to say their schedule is ready, as long as Notify drivers when a schedule is published is on under Configuration → Manager preferences. A driver who also works station shifts gets that same text.

Station staff who aren't drivers don't get a text when you publish. They see their station shifts in the VoiceERP app on their phone, so let them know when the week is ready.
