Incentive Payouts

How earned incentive rewards turn into payouts, and how to mark them paid, ignore them, and export them for payroll.

Building an incentive is one job; paying for it is another. Everything your drivers have actually earned lives on the Payouts page, at Performance → Payouts in the left sidebar, where you "View, manage, and export payout information for driver incentives."

Reading the payouts table

The table groups by driver. Each driver row totals the rows beneath it, and expanding it shows one entry for every reward on every incentive that person earned — so you read someone's earnings at a glance, then see where they came from. The columns are First Name, Last Name, Dollar Bonus, Dollar Per Package Bonus, Num. Packages, Custom Reward, Incentive Name, Incentive Start & End Date, Guaranteed Hours, Total Bonus, Payout Status, and Updated At.

Above the table, "Search payouts and drivers" matches driver names and incentive names, the Payout Status dropdown filters to Paid, Unpaid, or Ignored, and Start Week and End Week set the period — the page opens on the last two full weeks through today.

When payouts appear, and how the amounts are worked out

Payouts aren't created while an incentive is running; they're generated in one pass after it ends. Once the end date has passed and every document the rules depend on has arrived, the app works out who finished in a qualifying position, writes a payout for each of that incentive's rewards, and marks the incentive Completed. Until the paperwork lands, the incentive sits at "Missing documents" and warns that without them "we can't process this incentive and no payouts will be generated." Chase the missing week and the payouts follow automatically.

The amount depends on the reward. A flat dollar reward pays its face value. A per-package reward multiplies the rate by the packages that driver delivered over the incentive period. A custom reward has no dollar value — a gift card or a day off shows as text in the Custom Reward column. Guaranteed hours leans on payroll data: it pays the gap between the hours a driver was guaranteed and the hours their timecards actually show, at that driver's hourly rate, within the maximum hours per day and shifts per week set on the reward. That's why the page warns when a week has no timecard report, or when a driver with guaranteed-hours payouts has no payroll information — the figure is still provisional, and the fix is the data.

Marking payouts paid

Every payout is created as Unpaid, and your job here is to move each one to Paid once the money has gone out. Tick the checkboxes — selecting a driver selects all their payouts — then use Mark Selected As Paid or Mark Selected As Ignored; both ask for confirmation first. Clicking a payout row instead opens its drawer on the right, with the Payout Details and a Payout Actions section offering only the moves that make sense for its current status — an unpaid payout offers Mark As Paid and Mark As Ignored, a paid one offers Mark As Unpaid instead. Nothing is one-way, so a mis-click is a click to undo.

Adjustments and disagreements

There's no separate dispute queue — Mark As Ignored is the adjustment tool, and its tooltip states the intent: "Use this to disqualify a driver after an incentive was awarded if you don't intend to pay them." The payout stays on the record with an Ignored chip, and you can bring it back at any time. What you can't do is retype an amount: a payout's value comes from the incentive's rules and the underlying data, so a wrong figure is fixed upstream.

Getting the money to payroll

Download All Rows exports everything currently in range as a CSV; select rows first and the button becomes Download N Selected. It carries the driver's name and transporter ID, the incentive and its dates, every amount that went into the total, and the status. Straight after the download, the app asks "Mark Payouts As Paid?" — accept and everything you exported flips to Paid.

Companies with the payroll integration also get a Prepare Payroll File button. Pick a Start Week and End Week; the dialog lists the incentives in that period, warns if any isn't completed, and confirms the timecards are all uploaded. It won't build the file if a driver with a guaranteed-hours payout is missing a payroll ID or hourly rate — it points you at Settings instead. Download File then produces a per-driver summary — name, transporter ID, payroll ID, and total incentives — for your payroll provider.

Elsewhere in the app

The dashboard's Recent Payouts card lists the incentives from your most recently completed week with a total each, and a completed incentive's own page swaps its driver list for "Drivers Who Were Eligible For This Incentive," marking who earned rewards.

What drivers see

Drivers get their own view through the link texted with their weekly scorecard. Its My scorecard tab lists what they were eligible for with the reward beside each incentive — real dollar figures — ticks or crosses each one, and, if they earned something, says "Congrats! You earned" with the total.

What they never see is the Paid, Unpaid, and Ignored bookkeeping, which is worth knowing before you use Mark As Ignored: their week still shows the reward as earned, so a disqualification after the fact is a conversation you have to have yourself.
