Set up and use AI Notifications for your account's Admins to stay on top of scheduling and timecard events without checking the web app.
AI Notifications send you SMS updates about key events like driver shift declines, schedule progress, and timecard discrepancy summaries. We will add additional AI Notification types in the future. If you have suggestions, please let the voiceERP team know.
These notifications allow you to receive timely, relevant texts that let you see what Viki is doing, react quickly to issues, and spend less time checking the web app.
Step-by-step usage instructions:
Open the Voice ERP web app.
Navigate to Settings, then select the Notifications tab.
Choose an admin user (e.g., a Manager or Dispatcher) to set notifications for.
Click Add Notification and select a notification type:
Driver Declined Shift (sent immediately when a driver declines a shift during the scheduling window, if your company uses this schedule confirmation feature)
Schedule Progress Updates (summary of confirmed/declined/pending schedule confirmation responses, if your company uses this schedule confirmation feature)
Timecard Checking Summary (daily or specific days; summarizes new discrepancies since your last summary, if you have the timesheet feature enabled)
Set the delivery schedule:
For Schedule Progress Updates, choose the send time and optional follow-up count and interval (e.g., 3 reminders every 60 minutes).
For Timecard Checking Summary, choose the days to receive it (e.g., Mondays only) and the send time.
Customize days of the week for notifications: Click each day you want to receive notifications. Selected days are highlighted in blue. Days in grey indicate that day is not selected.
Optional: Set a snooze window for event-based notifications (e.g., 10:00 PM–7:00 AM) to pause SMS during off hours; messages will be delivered after the snooze period ends.
Click Create to store your settings. If you edit later, click Save again to apply changes.
Use the trash bin icon to delete a notification you no longer want.
Details to know:
You must have access to the Settings page in the voiceERP web app to set AI Notifications. If you do not have access to the Settings page, please consult with your account owner to ask for account permission to access the Settings page.
To enable the Timecard Checking Summary notifications, your account must have the Timecard Checking feature enabled. Please reach out to the voiceERP team if you have not discussed enabling this feature yet.
Please note that no notifications are set by default; you must add them per user if you'd like to receive them.
Delivery method is SMS by default. Push notifications and email notifications are planned for the future.
Remember to click Save after edits; clicking away without saving won’t apply changes.
You cannot reply to notifications (e.g., you can’t text back “find a replacement” to Vicky). Actions must be taken in the app.
