Getting Started with Mobile Fleet Inspections

This article explains how to complete vehicle inspections using the voiceERP mobile app on a work device. After reading, you will know how to find, start, and submit your daily vehicle inspections.

What the feature does:

This feature allows you to complete your required fleet inspections directly through the mobile application on your company-provided work device.

Who it's for and which role uses it:

This feature is for drivers who need to perform pre-trip or post-trip vehicle inspections, and for managers who need to assign and manage such inspections.

What success looks like:

Success is easily and quickly completing your required vehicle inspections at the start or end of your route, ensuring your vehicle's condition is accurately recorded without needing to use a personal device.

How to find and access it in the app:

When an inspection is assigned to you, you will see a badge (a small number in a circle) on the inspections icon within the mobile app. Tapping this icon will take you to the inspections screen where you can view and start your assigned inspections. If you have notifications enabled, you may also receive a push notification reminder, which you can tap to go directly to the inspection.

Step-by-step usage instructions:

  1. Open the mobile app on your work device.

  2. If you have a pending inspection, you will see a badge on the inspections icon. Tap it.

  3. On the inspections screen, tap on the "pending" inspection to begin.

  4. The app will open a camera view. The top-left corner indicates which angle of the vehicle to photograph (e.g., "Front").

  5. Take a picture for the required angle. You can then choose to "Retake" the picture or tap "Next" to proceed.

  6. You can take pictures out of order by tapping on the thumbnail images at the bottom of the screen to skip to a specific view.

  7. As you take pictures, you will see a progress bar. A green outline indicates a photo has been successfully uploaded. If you exit the app and return, your progress will be saved.

  8. After taking all the required vehicle photos, you will see options to "Add Damage Report" and "Finish."

  9. If there is damage, tap "Add Damage Report" to take additional photos of the specific damage. You can add a caption to these photos.

  10. Before submitting, you must enter the vehicle's current mileage in the "Odometer Reading" field. This is a required step.

  11. Once all photos are uploaded and the odometer reading is entered, tap "Submit Inspection."

  12. The inspection will move to the "Completed" section, and the badge on the home screen icon will disappear.

Prerequisites you must have in place:

  • You must have the mobile installed on your device.

  • You must grant the app permission to use the camera. You may be prompted for this the first time you use the feature.

Default configurations for the feature:

Vehicle inspections are enabled by default for all drivers. There are no settings you need to configure to use this feature.

Common errors or gotchas you may encounter, and troubleshooting tips:

  • Error: Photos are slow to upload or fail to upload, indicated by an overlay on the photo thumbnail that doesn't disappear. This can be caused by a poor network connection or if there is a lot of data to transmit.

  • Troubleshooting: The easiest way to resolve this is to close and reopen the app. The app is designed to re-check for and re-attempt to upload any pictures that haven't been sent to the server. Ensure you have some free storage space on your device, as the pictures are saved temporarily before being uploaded.

Any usage limits or restrictions:

  • You can only complete an inspection for the current day. If your route ends after midnight, you will not be able to complete the previous day's inspection.

  • The automatic end-of-day logout is now delayed. When you return to the station's geofence, a one-hour timer begins before you are automatically logged out. You must complete your post-trip inspection within this one-hour window.

How it connects to other features you already use:

This feature is directly connected to the Fleet module. The vehicles you inspect are managed via the Cortex Fleet Sync, which ties the inspection record to the specific vehicle asset.

What the feature doesn't do that you might expect:

  • The app does not provide automatic framing assistance or overlays to help you line up your photos. You will need to position yourself appropriately to capture a clear picture of the required vehicle angle.

  • The camera will not take pictures automatically; you must manually tap the capture button for each photo.
