What the feature does

Admins and managers can now call or use a walkie-talkie to speak with the AI assistant, to get information about drivers and operational data.

Who it's for and which role uses it

This feature is for users with "Admin" or "Manager" roles.

How to find and access it in the app

  • To speak with Viki: Admins or managers can simply call the Viki phone number registered to their company account.

  • To view call history: The transcripts and details of these calls can be found in the Viki tab in the web application. You can filter for "manager calls" to see only these interactions.

  • In the mobile app: A "Talk to Viki" button will appear in the driver app which you can use to call Viki.

Step-by-step usage instructions

  1. Call Viki from the phone number registered to your user.

  2. Viki will start with a brief overview.

  3. Ask specific questions to get more detailed information. Viki can provide data on several topics. Here are examples:

    • Driver Alerts: "How many Netradyne alerts do all my drivers have in the last seven days?"

    • Schedule Confirmations: "Which drivers have confirmed their schedule for tomorrow?"

    • HR Information: "How many incidents still require signatures?"
      or "Which incidents still need to be coached?"

    • Driver Incentives: "Which drivers are on the incentive plan?" (Viki will only provide this information if you have the necessary permissions to view incentives).

    • General Summaries: Ask for a driver summary or recent call history.

Prerequisites the user must have in place

  • The user must have an "Admin" or "Manager" role in the system.

  • The call must be made from the phone number associated with that user's account.

What success looks like

You can now quickly get the specific operational information you need by asking Viki questions, without having to manually search through the web application. The full transcript of the conversation will be available for review on the dashboard.

Common errors or gotchas the user may encounter; common troubleshooting tips

  • Misconception: You may think Viki can perform actions for you, like changing a driver's schedule. Currently, Viki is for information retrieval only and cannot perform tasks on behalf of a manager.

  • Calling Viki and getting an "unexpected call" message: If you are an admin and call Vicky but she says she cannot talk to you, it means this feature has not yet been enabled for your company. Please contact support.

Any usage limits or restrictions

  • Time-based access for dual-role users: A specific rule applies to users who are both a manager and a driver using the same phone number.

    • From 9:00 AM to 7:30 PM (in the company's local time zone), Viki will treat you as a driver. You can ask driver-related questions (e.g., dispatch, deliveries, safety coaching) but cannot ask manager-related questions.

    • From 7:30 PM to 9:00 AM (in the company's local time zone), Viki will treat you as a manager. During this time, you can ask for roster information, schedule summaries, and other administrative data.

  • Permissions: Viki respects the same permissions as the web app. You will not be able to ask for information you do not have permission to view (e.g., incentives).

How it connects to other features

This feature pulls information from existing parts of the platform, including the driver roster, scheduling, Netradyne alerts, and incentives. The call history is integrated directly into Viki's activities dashboard for review.

What it does not do

  • Viki cannot perform actions. She is read-only. You cannot ask her to change a schedule, re-assign a driver, create an incident, or forward a call to a driver.

  • Viki will not proactively give you all information. She starts with a high-level summary and will only provide specific details when you ask for them.
