How Often Cortex Data Syncs

Which data VoiceERP pulls from Cortex, roughly how often each kind refreshes, and what to do if something looks out of date.

Once your company is connected to Cortex, VoiceERP pulls your data in on its own, all day and every day of the week. There's nothing to press. Each kind of data refreshes on its own schedule, so it's normal for one page to be a few minutes behind another.

What comes from Cortex

  • Drivers: your associate list, which feeds Settings → Drivers. If Sync onboarding associates is on, this includes associates on Cortex's Onboarding tab.

  • Fleet: the vehicles on Fleet Management.

  • Route demand: the weekly route forecast that schedule generation plans against.

  • Driver routes and route progress: each driver's route, wave time, and vehicle for the day, plus live progress through the route.

  • Previous day's route summaries: the finished picture of yesterday's routes.

  • Scorecards: your weekly Amazon scorecard.

  • Rescues and driver locations: for companies using Route Assistance.

How often each kind refreshes

Most syncs run about every 15 minutes:

  • Drivers and fleet: about every 15 minutes.

  • Driver routes and today's route progress: about every 15 minutes.

  • Route demand: about once an hour. Each sync covers the current week and the next three.

  • Rescues and driver locations (Route Assistance): about every 10 minutes.

  • Scorecards: every half hour from Wednesday through Friday, when scorecards usually come out, and every six hours on other days. Once that week's scorecard is in, the sync stops checking for it.

  • Previous day's route summaries: once each morning, around 4–5 AM Eastern. Any recent days that are still missing get filled in at the same time.

These times are approximate. Each one counts from the last time that sync ran, so data can land a few minutes either side of the interval. VoiceERP support can change how often a sync runs for your company if you need it.

When route data updates your roster

With Sync Routes with Cortex turned on (Rostering → gear icon → Daily Ops Settings → Rostering tab), driver route info comes in all day. It only fills in the roster between 4 AM and 2 PM in your company's time zone. After 2 PM, route progress keeps updating, but the roster's wave times, routes, and vehicles are left as they are.

The sync fills in what's empty or what it put there before. A value you typed or uploaded yourself is kept.

Signs a sync is still on its way

A few pages tell you when data hasn't come in yet:

  • Scheduling → Schedule: "No demand forecast synced for this week yet — generated schedules may not reflect actual route demand." This shows until that week's route demand arrives.

  • Route Assistance → Live Monitor: shows how long ago locations last came in, such as "synced 5m ago".

  • End-of-day report: lists "Pending at the time this was built: Cortex route data." when a day's route data was still arriving as the report was built.

If something looks out of date

First, give it one sync cycle. For most data that's about 15 minutes, and for route demand about an hour. Check that the driver's own record doesn't have Disable Cortex auto-sync for this driver ticked in Edit Driver, because that holds the record as you left it.

If it still looks wrong after that, contact VoiceERP support. Tell them which page and which data you expected, and they can check your company's sync. There's no "sync now" button in VoiceERP.
