Viki University

How Viki University courses are assigned to drivers and admins, how due dates and reminders work, and where training appears on the web and in each mobile app.

Viki University is VoiceERP's training center. Courses are built by the VoiceERP team and can contain videos, quizzes, and walkthroughs. Your company assigns those courses to drivers and admins, sets due dates, and tracks progress from a single team view.

Before anything else

Viki University is a company-level feature. Companies set up through the Onboarding Hub have it on from day one; for companies set up before the hub it is off until VoiceERP support turns it on. When it is on for your company:

  • managers with access can assign courses and view team progress;

  • admins who receive training get course notifications in their Viki feed and a Your training section on the web home page;

  • drivers and admins get Viki University entry points in the mobile apps (see "Where training appears" below). There is no separate Training tab in either app.

If you don't see the training surfaces, first check page access and then ask VoiceERP support to enable Viki University for your company. The Manage Training access setting is separate from normal page access and controls who can assign courses and view team progress.

How courses are organized

The course catalog is global, not per company. Each course has an audience:

  • Drivers courses are visible to drivers and can be assigned to drivers.

  • Staff courses are visible to admins and can be assigned to admins.

Each course is a sequence of items with a total duration. A video item is a short mp4. A quiz item is a set of multiple-choice questions. Video and quiz items play on the web and in both mobile apps. Walkthrough items guide someone through pages of the web app, so they are only available on the web.

Assigning a course

Use the Assign Courses management screen. Pick a course, select the assignees, and choose a due window preset — 7 days, 14 days, or 30 days. Due dates are calculated to the end of the due day in your company's timezone.

You can only assign a course to people matching its audience. If someone already has an active assignment for the same course, they are skipped rather than duplicated.

When an assignment is created, the learner is notified:

  • an admin learner receives a training notification in their Viki feed;

  • a driver learner receives a push notification, and the course appears at the top of their training screen.

Admins added through the Onboarding Hub get the courses Viki suggested for their role assigned automatically when they are added.

Auto-assignment rules

Instead of assigning the same course to every new hire by hand, create auto-assignment rules. A rule says 'whenever a new driver is created, assign this drivers course,' or 'whenever a new admin is created, assign this staff course.' Each rule has the same due-window presets.

Rules can be turned on or off and their due window changed at any time. They fire when a driver or admin record is created — including roster uploads — and duplicate-guard logic keeps re-runs from creating a second active assignment for the same course and person.

Team Progress

The Team Progress view lists every assignment in the company with a server-computed progress percentage, plus the assignee's latest quiz results where a course has quizzes. Completed courses are shown as badges with an earned date.

The actions worth knowing:

  • Reassign supersedes the old assignment, resets the person's course progress, and creates a fresh assignment. Their completion and badge are left untouched.

  • Withdraw removes an active assignment before completion. It stays in history but is hidden from the learner; progress and badge are left alone.

  • Revoke badge deletes the completion record, clears item progress, and reopens the completed assignment so the person must earn the badge again. This is the only path that removes a badge — course updates never do.

  • Seek lock can be toggled per assignment. When on, a learner must fully watch each video once before they can skip forward.

How reminders work

Viki University uses a three-stage reminder cadence for active assignments:

  1. About a week before the due date, if the learner has not started, they get a reminder.

  2. About two days before the due date, they get a reminder if the course is still incomplete.

  3. After the due date, an overdue notice fires once.

Reminders are stamped per assignment stage, so repeated runs of the hourly reminder job never double a notice. Completed assignments do not get reminders.

If a course is updated by the content team with a real content change, completed learners get an informational notice saying their completion stands and they can watch the new material whenever convenient. Cosmetic changes do not notify anyone.

Where training appears

On the web, Viki University is in the sidebar. The home page adds a Your training section listing each active assignment with its progress, due date, and a Start or Resume link, plus a Viki University card that plays the home page tour video.

In Zap by voiceERP (the work app), drivers open the More tab and tap Viki University (subtitled Training courses and quizzes). The row only appears for drivers while Viki University is on for the company. There is no training card on the work app's Home screen.

In VoiceERP at Home (the home app), both drivers and admins get:

  • a Your training card on the Home screen. When there is an outstanding assignment it shows the most urgent course, due date, progress, and a Continue button; when the learner is caught up it collapses to a compact row into the catalog;

  • a Viki University row on the Settings screen (subtitled Assigned courses and the training catalog) that opens the same training screen.

What learners see

The training screen has an Assigned to you section, where each assigned course shows its progress and a Start or Continue button with the minutes left, and a Browse section listing the other courses for that audience.

Videos open in a full-screen player with resume, play/pause, speed control, a progress bar, and a fullscreen button that rotates the video to landscape. For assigned videos, the default seek lock allows rewinding but blocks skipping ahead until the learner completes a first full watch. Once a video is complete, progress is recorded automatically.

Quizzes run one question at a time: pick an answer, tap Check answer to see whether it was right (the correct option is highlighted), then Next question, and Finish quiz on the last one to see the score. Finishing the quiz completes the item; passing is not required. A learner can rewatch any video and retake the quiz whenever they like, and a retake keeps the completion and records the new score.

Finishing the final item completes the course and records the badge.

Drivers can browse other drivers-audience courses even when they are not assigned. Learning progress is tied to the learner, so a course watched out of curiosity still resumes where it was later.
