Everyone who logs into the manager web app has their own user account. You manage them under Settings → Users, in the Administrators section — "Manage access to your account," as the heading puts it. This is where you add a dispatcher or an HR lead, decide which parts of the app each of them can open, and take access away when someone leaves.
Adding a user
Press New Admins above the list and the Create Admin dialog opens. It asks for First Name, Last Name, a phone number, and an Email — all four are required, and the email is what the person signs in with. Underneath is the Access checklist, covered below; new users start with everything checked except the four owner-only pages.
Press Add and the account is created. The person receives an email with a temporary password, and the first time they sign in they're asked to choose a password of their own. If they wait too long that temporary password expires, and sign-in tells them: "Your temporary password has expired. Please contact your administrator to reset your account." There's also a Forgot password? link on the sign-in screen once they're set up.
Two things can stop a new user from being created. If the phone number already belongs to someone with a different email, you'll be told "A user with that phone number already exists but with a different email." And because one person can hold accounts at several companies under a single login, adding someone who already works elsewhere is blocked unless you work at those companies too: "This user is already an admin in other companies that you are not an admin of."
Root and Admin
There are two types of user, shown in the Type column. Root is the account created when the company was first set up — the owner. Everyone added afterward is an Admin. Root can't be edited or deleted from the list; those icons on that row are grayed out, so no one can lock the company out of its own account.
The difference in practice is what each can hand out. Access to Payroll, Timesheets, Billing, and Reporting can only be changed by the root user; for everyone else those four boxes are visible but not clickable. Any user with Settings access can add, edit, and delete users, and can grant or remove the remaining pages.
Choosing what each user sees
The Access checklist controls it, and a checked box means allowed. The options are Scorecard, Chat, Incentives, Payouts, Rostering, Settings, AI Agent, Incidents, Fleet, Drivers, Recruiting, Payroll, Timesheets, Billing, Scheduling, and Reporting. Uncheck one and that section disappears from the person's sidebar entirely; if they reach the page by an old link or bookmark they're sent back to the home page rather than shown the content.
Restrictions follow the person through the app rather than only hiding menu entries. Take Timesheets away and the Timesheets tab vanishes from every driver profile too; take Drivers away and the HR documents and notes tab goes with it. Access never adds anything — a page your company doesn't have turned on stays hidden regardless of the checkboxes.
To change someone later, press the pencil on their row. The Update Admin dialog shows their name and email as read-only text and lets you edit their phone number, their linked driver, and the Access checklist.
Reading the list
Each row shows First Name, Last Name, Phone Number, Email, Linked Driver and Type, a Dispatch Forward toggle, then a checked box for every page that person can open. Dispatch Forward decides whether calls transferred to dispatch ring this user's phone, so keep it on for the people who actually answer. The search box above the grid filters as you type.
Linking a user to their driver record
If a manager also drives, they'll have both a user account and a driver record. The Linked driver field in the Update Admin dialog ties the two together — "The driver account that belongs to this same person. Clear to unlink." Pick their name from the list; if that driver is already linked to another user you'll be asked to confirm the move first, since a driver can only be linked to one user.
Linking saves confusion. The person shows up once in chat pickers instead of twice, on the phone app they're asked whether to Continue as Admin or Continue as Driver after signing in, and in scheduling a linked driver defaults to not being scheduled on routes. Adjust that in the scheduling configuration if they do drive.
Removing a user
Press the trash icon on their row and confirm — "Are you sure you want to delete this admin? This action cannot be undone." There's no deactivate or suspend option here, so deletion is how you cut off access. It only removes them from this company: if the same person is a user at another company you work with, or also has a driver record, their login survives so those stay intact.
Users versus drivers
A user account and a driver record are separate things. Users are created here, sign in with an email address, and are what the manager app checks for permissions. Drivers live on your roster, are added through driver settings and onboarding, and sign in on the driver app with their phone. Adding someone as a user does not put them on the roster, and adding a driver gives no one access to the web app — if the same person needs both, create each one and connect them with the Linked driver field.
